Managing Chats (Quick Take)
In a nutshell
Chats are like conversation threads for different topics.
Instead of one messy chat for everything, create focused conversations that keep AI responses sharp and help you find information later.
Why It Matters
Focused chats = better AI responses. Mixing topics and long run-on conversations confuses AI and makes it hard to find old conversations when you need them.Example
What is Chat Management?
What is Chat Management?
Chat management is how you organize AI conversations into focused, purposeful threads that serve specific goals while maintaining context quality and team collaboration.
Why It Matters
Proper chat organization drives better outcomes:- Context clarity — AI understands your specific topic without distraction
- Information retrieval — Find past conversations and decisions quickly
- Team collaboration — Share relevant discussions without overwhelming teammates
- Conversation continuity — Build on previous discussions effectively
One chat, one focus. Mixing topics dilutes AI effectiveness and creates organizational chaos.
Creating New Chats
Chat Privacy Levels
Private Chats
Private Chats
Who can access: Only you and AI
- Perfect for personal brainstorming and sensitive topics
- Your workspace within the shared project
- Can be converted to Shared or Collaborative later
- Every team member has their own private chat collection
Shared Chats
Shared Chats
Who can access: All project members (read-only for others)
- You: Full editing and management control
- Team: Can read conversation but not modify or continue it
- Great for sharing insights without opening collaborative discussion
- Ideal for presenting completed research or analysis
Collaborative Chats
Collaborative Chats
Who can access: All project members (full participation)
- Anyone can continue the conversation where others left off
- Perfect for team discussions and group problem-solving
- All participants can contribute messages and guide the direction
- Creates true group AI conversations
Converting Chat Types
You can change chat privacy levels anytime from the chat’s top context menu:Private → Shared → CollaborativeStart with Private to develop your thoughts, then share polished conversations with your team.
Forking Conversations
What is forking? Create a new branch from any point in an existing conversation. When to use forking:- Take discussions in new directions without losing the original thread
- Continue someone else’s Shared chat with your own perspective
- Explore alternative approaches from a specific conversation point
- Create personal versions of team discussions
Chat Organization
- Naming
- Cleanup
Auto-generated names come from your first message, but you should customize them:
- Use the top bar or left sidebar context menus to rename
- Choose descriptive, searchable names
- Include date or project phase if relevant
- Example: “Q4 Campaign Ideas - Oct 2024” instead of “Marketing Discussion”
When chats don’t work out:
- Fork to save parts worth keeping
- Delete conversations that went off-track
- Use the chat context menu for all management actions
Best Practices
Create new chats when switching topics. It’s better to have many focused chats than one sprawling conversation.
Solo → Team pattern: Start private, refine your approach, then share or convert to collaborative for team input.
Don’t let individual chats become too long. Fork or create new chats when conversations exceed 20+ message pairs to keep the AI on track
